How to Schedule with Homeschool Spanish Academy (2024)

Welcome to Homeschool Spanish Academy! We are excited to share this Spanish-learning journey with you. In order to help you schedule your classes, we’ve prepared this guide with best practices and how-to’s on scheduling your classes with ease.

How to Begin Scheduling Your Classes

Log into your account and you will land on the Dashboard, which shows a brief summary of homework reviews and upcoming classes.

Note: Before you begin scheduling, be sure to set your time settings to the right time zone!

To do this, click “Settings” in the menu on the far left side.

Scroll down to the “Time Zone” drop-down menu and click “Central Time” (note: be sure you don’t click “Central America” time zone). To complete this change, you will need to confirm your password.

To start, look to the menu on the far left and click “Classes” to see your class list or begin booking classes.

If you’re a parent of a student, you will immediately access your parent account (with which you can also purchase classes for yourself). To find your student’s class list, filter for their name using the drop-down menu in the top left corner. Click your student’s name to see corresponding classes listed.

In the class listing, you will see how many classes you have purchased and scheduled, and how many you have left to schedule.

To schedule classes, click the blue button on the top right labeled “Schedule Class” as shown below.

You will enter into the Class Planner system where you click the green button “Get Started”.

The next prompt will ask you “Who are the classes for?” where you need to click the drop-down menu and select the student name and their package.

NOTE: If you have more than one package with pending classes available for the same student, it will show up as separate selections. Choose the name and package from which you’d like to schedule your classes.

To see how many classes you have left in each package, simply click the student name and package and read the corresponding text to the right or below.

To proceed with scheduling your classes, click the green button labeled “Next Step”.

Now it’s time to Select a teacher. The selection of teachers is not organized in any particular order and can shuffle at any time, so be sure to jot down your prefered teacher’s name for future reference.

How to Book with “No Preference”

If you do not have a specific teacher preference, click the first box on the top left of the selection labeled “No Preference”. With this option, the system will select randomly for you the teachers who are available for booking. You will simply need to select the days you wish to book your classes then click the blue button in the center labeled “Search for these sessions”.

The system will give you an option of times for each of the days you’re interested in booking. Click the drop-down menus for each specific date to select the times you need. If times are not available for that specific date, it will show in red text that “No Times Available”.

Select the date and time to see which teacher is assigned to that particular class then click the blue button at the bottom labeled “Add all (amount) Sessions to Cart”.

Take note that when you are selecting your dates and times, you are not booking the classes. They are simply being reserved. The classes are not officially booked until you click the green button to the bottom right labeled “Confirm These Sessions”.

Please take note! Our system gets bogged down if too many other students are scheduling at the same time. When this happens, you will need to log out and log back in. Note that this also means that the classes you chose (and did not confirm) will be reserved for 2 hours and you will not be able to book these specific classes again during this time.

To avoid complications, we recommend that you choose up to 5-10 classes at a time, confirm them, and then return to book another 5-10 classes.

“No Preference” Booking Checklist

• Select “No Preference” as my teacher
• Select the days of the week
• Pick a time for each day and click the blue button to select
• Confirm the sessions with the green button
• Check the Classes tab from the Dashboard to confirm that my classes are booked

How to Book Your Favorite Teachers

We recommend that you choose 3 or 4 favorite teachers to ensure you can fill your prefered scheduling times.

To start, choose one teacher and then select the days you wish to book your classes. Click the blue button in the middle labeled “Search for these sessions” for the system to show the days and times that this teacher is available. You will manually need to click each date and reserve the class time you prefer. We recommend that you reserve 5-10 classes at a time then confirm them to avoid the system locking up and forcing you to log out.

This may take some time as many of our teachers are not available at all the times you prefer, and if you’d rather schedule quickly, then go back to the teacher selection page and choose “No Preference”.

To continue booking more classes with other specific teachers, go back to the teacher selection menu and repeat the same process as stated above. Be sure to confirm your classes!

Book Your Favorite Teachers Checklist

• Select my prefered teacher
• Select the days of the week
• Pick a time for the available days and click the blue button to select
• Confirm the sessions with the green button
• Go back to the teacher selection menu and select another teacher
• Repeat process as listed above
• Check the Classes tab from the Dashboard to confirm that my classes are booked

Confirming Your Classes

When you confirm your class, a pop-up confirmation of your scheduled classes will appear that gives you two options:

1. “Schedule more classes” takes you to the Get Started page to begin the process again
2. “Show me my classes” takes you to the Classes tab from the Dashboard to show you confirmed scheduled classes
